Which data we process, why and for how long

Per situation: which data, for what purpose, on which legal basis and for how long it is retained.

Contact

Email contact

Data: name, email address, organisation and the content of your message.

Purpose: answering and following up on your request.

Legal basis: legitimate interest, namely responding to a question you ask us yourself.

Retention period: up to 2 years after the last contact.

Workshops and training

Participants

Data: name, email address, organisation or school, role, attendance and any feedback.

Purpose: organising, delivering, evaluating and invoicing the training.

Legal basis: performance of the contract with the client.

Retention period: invoicing data for as long as the statutory accounting period requires, other data up to 2 years after the training.

Schools

Minor students

Data: none. Byterider does not create accounts for students, does not collect student data and does not use its own AI Gateway in schools. During school workshops, students work with publicly available AI tools under the supervision of the school.

Purpose: not applicable, no student data is processed.

Legal basis and consent: the school decides which tools students use and arranges information to and consent from parents. This arrangement is included in the agreement with the school.

Retention period: not applicable.

Neurodivergent track

Track participants

Data: name, contact details, starting situation, goals, and information about capacity, sensory sensitivity and support needs.

Special category: information about capacity and sensory or other support needs is health-related and falls under the special categories of personal data. This data is processed only with the explicit consent of the participant.

Purpose: tailoring the track to the participant and enabling guidance.

Legal basis: explicit consent through a signed consent form at the start of the track. Consent can be withdrawn at any time by emailing info@byterider.be. Sharing with coaches, training organisations or an employer happens only at the request and with the consent of the participant.

Retention period: up to 1 year after the end of the track, or earlier when consent is withdrawn.

AI Gateway

Usage logs per user

Data: user identifier or token, timestamp, model used, amount of text processed, response time, error messages and origin of the connection (IP address). The content of prompts and responses is checked against the agreed rules in transit, but is not retained.

Purpose: managing access, preventing misuse, monitoring capacity and cost and investigating incidents.

Legal basis: performance of the contract with the user or client, and legitimate interest for security and operations.

Retention period: per-user data for 90 days, after that only aggregated figures without personal data, retained for 12 months.

Website

Visiting this website

This website uses no cookies and no analytics tools. Fonts and all other files are loaded from our own website, no connection is made to third-party services. The hosting provider processes technical server logs with IP address and requested pages and retains them for a short time to deliver and secure the service.

Who we share data with

We do not sell data. We work with a limited number of service providers that process data on our behalf.

  • Website hosting: Vercel Inc. (United States). Transfers are based on the standard contractual clauses of the European Commission.
  • Email and office applications: Microsoft 365 (Microsoft Ireland Operations Ltd.), with data stored in data centres in the European Union.
  • AI models and infrastructure: the AI models behind our own services run on our own infrastructure in Belgium. We do not pass data to external AI services unless a client explicitly requests this and it is laid down in the agreement.
  • Accounting: our accountant receives the invoicing data required for statutory bookkeeping.
  • Transfers outside the EEA: only for the website hosting above, with the safeguards mentioned.

Your rights

You can access your data, have it corrected or deleted, have processing restricted, object to processing and have your data transferred. Consent you have given can be withdrawn at any time.

Send your request to info@byterider.be. We respond within one month. To make sure we are speaking with the right person, we may ask you to confirm your identity. You can also lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, dataprotectionauthority.be.

Security and changes

Data is stored on our own infrastructure in Belgium or with the processors listed above. Connections are encrypted, access is limited to those who need it and is secured with personal keys instead of shared passwords.
